What You Need to Do (7 Things)

u1 Order BADGES (by May 9, 2007) 

As part of your booth package, you receive two badges per space that will admit staff to educational sessions (see the online link or print a form for complete information). Please let us know who will be staffing your booth so we will have a badge for them. Some people think that they provided us this information on the contract. However, we don’t ask for this on the contract (just for contact information), since many people do not know at the time they complete the contract who will be staffing their booth.

u2 Order MAILING LISTS (by May 9, 2007)  

Included in your booth fee are three mailing lists. Please let us know whether you want NEHA’s Membership List, or one of our Specialty Lists (see order form for choices), and where you want it sent. You will automatically get the Pre-Conference Attendee List (by June 1, 2007), and Post-Conference Attendee List (by July 15, 2007).

u3 Reserve your HOTEL ROOM (rooms are likely to sell out soon)

The exhibition, all educational sessions, meetings, and most social events will be held at the Tropicana Atlantic City Casino and Resort.  Rooms are $119 in the North, South, and West Towers (they are closest to the exhibition), and $154 in the Havana Tower (recently renovated and closest to The Quarter where many shops and restaurants are located).

u4 Return the ELECTRICAL SERVICE FORM—Even If You Are NOT Ordering Electrical Service (by May 25, 2007 to avoid late service charge on special orders)

A four-outlet standard electrical receptacle will be provided to each booth at no charge this year. However, the hotel requires that all exhibitors return the Tropicana Application for Electrical Service form you will find in the AEX Exhibitor Kit on page 22. If you need more sophisticated electrical service you may order it on this form.

u5 Print this Getting Started information 

For whomever is actually coming to the AEC & Exhibition, this is some basic information to help them get started. Please print it and take it with you if you are attending, or give it to your booth staff. It includes location, directions, hours, a floor plan, and an exhibitor list.

u6 Know the RULES

Please review these two documents, Exhibit Terms, and NEHA Communication and Information Policy, so that you will know the AEC & Exhibition rules.

u7 SHIP your materials

Information on shipping any materials you need for the show may be found in the AEX Exhibitor Kit. Please be aware that shipments to the AEX Convention Services warehouse must be shipped to ARRIVE at their facility between May 18, 2007 and June 11, 2007.  Shipments to show site may only arrive on June 18, and only between 1:00 and 5:00pm. The show opens at 6:00pm.

What You DON’T Need to Do (3 Things)

u1 You don’t need to REGISTER for the Conference

Your booth package includes two badges for booth staff. Please see “Order BADGES” above for complete information.

u2 You don’t need to Order CARPET

The Grand Exhibition Center where the exhibition will be held is carpeted, so you do not need to order carpet for your booth.

u3 You don’t need to Order a TABLE or Chairs (unless you need more than included in your booth package)

Each 8’ x 10’ or tabletop space reserved will be provided with one 6’ table draped in black, two chairs, and a wastebasket (value $192.25) as part of the booth package (double booths receive two tables and wastebaskets, and four chairs). Should you need additional furnishings, see below.

What You Might Need to Do (3 Things)

u1 Order OTHER FURNISHINGS OR SERVICES 

Should you need more than the 6’ table, 2 chairs, and wastebasket provided for each booth space, you will need to order additional furnishings from AEX. You may order several other items and services from them as well, as you will see in the AEX Exhibitor Kit

u2 Order a TICKET for the UL Dancing Queen Show and Dinner at Bally’s, or the Presidents Banquet (Optional Exhibitor Special Events Form)

Your booth package does not include tickets to these two events (you do receive two booth staff tickets to the Exhibition Grand Opening & Party and the Networking Luncheon), so if you wish to attend them or any of the other optional courses or events, you will need to place your order on this form. You may also use the form to order tickets for any of the special events for your guests.

u3 Look at the CONFERENCE BROCHURE AND SESSION ABSTRACTS 

If you plan to attend the educational sessions, you will want to look over the conference brochure (available now) and session abstracts (to be posted in early May) to see which sessions you wish to attend. Also, when you pick up your badges at the conference, you will receive a Program Guide that will contain a short description of each session.

May 9 Deadline for returning the Badge Order and Mailing List Request Forms to NEHA
May 18 First day AEX will accept freight at their warehouse
May 25 Last day to order special electricity lines to avoid a late service charge
June 4 Last day to order AEX services at advance order discount rates
June 11 Last day for advance shipments to arrive at the AEX warehouse
June 18 Only day shipments will be accepted at the Tropicana by AEX (from 1:00 to 5:00pm)
