Member Services Assistant

About the Position

The Member Services Assistant is the brand representative, the human face and voice for the National Environmental Health Association (NEHA). This position manages phone calls, emails and other communications that support NEHA members and customers. This position also provides overall office support and works directly with department staff to provide optimal customer service for NEHA members, credential holders, and visitors to the online bookstore.


Customer Service (25%)

  • Manages phone calls and email messages in general NEHA mailbox
  • Greets guests and directs them appropriately
  • Accepts and signs for deliveries
  • Serves as the customer service expert for all NEHA portals (My NEHA, eLearning, website)
  • Validates parking passes

Member Services (25%)
Assists Membership Manager with the following tasks:


  • Maintaining member records in MemberSuite database
  • Creating and sending invoices and receipts and taking payments over the phone
  • Processing membership renewals
  • Processing member applications and mailing member cards
  • Ensuring members are getting the right benefits (access to eLearning, Journal of Environmental Health, discounts, etc.)
  • Troubleshooting member issues

Annual Educational Conference (AEC) Support (25%)
Assists Chief Learning Officer and Business Analyst with the following tasks:

  • Abstract submission and review and preparing mailing lists (October-April)
  • Assembling moderator packets, pre-conference preparation and shipping (May-June)
  • Post-AEC follow-up and thank you letters (July-September)
  • Miscellaneous support including attendee/exhibitor registration processes, budgeting and payment assistance, NEHA staffing communications (ongoing)

Office Coordination (15%)

  • Orders supplies
  • Processes mail (incoming, outgoing, returned)
  • Processes copier meter readings
  • Maintains office equipment and lunchroom appliances
  • Administers and troubleshoots phone system
  • Schedules conference rooms
  • Schedules recycling, Junk King and Waste Management

Other Department and Staff Support (10%)

  • Manages scheduling for Executive Director’s travel and meetings as needed
  • Assists Business Analyst with Board of Directors logistics and minutes
  • Coordinates Journal of Environmental Health advertising invoices (monthly)
  • Searches membership database on a routine basis to clean up duplicate accounts, verify status of member payments, and communicate issues to appropriate staff
  • Runs membership reports as needed



  • High school diploma, General Education Degree (GED), or equivalent is required.


  • Minimum of two years’ experience in administrative support role
  • Minimum of two years’ experience in a customer service/member services role
  • Excellent interpersonal and communication skills
  • Proficiency in MS Office and Adobe Acrobat
  • Organizational and problem-solving skills
  • Prioritizing multiple projects and meeting deadlines
  • Mission-oriented with a learning spirit and integrity
  • Experience working with MemberSuite or similar client relations management database (preferred)
  • Experience working in a member-focused non-profit organization (preferred)
