About the Position

This position is 40-hour per week office-based position, reporting to the Director, EZ. The Administrative & Logistical Support person is responsible for ensuring the department complies with all internal and external deadlines, pays bills, handles registration for upcoming events and works with the logistics team to ensure travel arrangements are complete and categorized correctly. 

Priorities

  • Coordinates workflow
  • Handles administrative detail on all projects
  • Manages tasks calendar to ensure all deadlines are met
  • Keeps projects on schedule
  • Documents procedures to ensure consistency of department
  • Handles registration for upcoming events

Communication

  • Manage mail merge to ensure communication functions are completed
  • Compose correspondence related to projects
  • Research and drafts abstract reports
  • Research data for speaking engagements and infographics
  • Manage communications when team members are traveling

Appointments/Meetings

  • Prepares agendas
  • Acts as recording secretary; prepares meeting notes and action items

Travel

  • Arranges travel for staff, subject matter experts and instructors as needed
  • Prepares expense report tools
  • Completes and submits expense reports

Event Registration

  • Sets up events in relevant software system
  • Is point of contact for all registrations
  • Works with Logistics team to secure and negotiate hotel contract terms
  • Apprise team of all metrics attached to events
  • Ensure event billing matches contract terms

Routines

  • Updates EZ Policies & Procedures
  • Sets up “tickler” system
  • Routinely reorders department supplies
  • Keeps current travel calendar and contact information for department
  • Works with Sales team as needed to support administrative needs
  • Works with data team to help with e-learning needs

Work Experience requirements

  • Customer service experience required
  • Account receivable experience required
  • Proficiency with Microsoft Excel and Word required
  • 1-2 years’ work experience in a professional work environment
  • College degree preferred, but competency-based experience accepted
  • Experience with non-profits or government a plus
  • Some work-related travel should be expected

Qualifications

Physical Requirements

  • Repeated lifting of 35 to 50 lbs. can be expected as part of the shipping process
  • Ability to sit and stand for extended periods of time
  • Manual dexterity required for operating office equipment 
  • Ability to read required reports and computer screen 
  • Hearing required to interact with management and associates

What we Offer

The annual salary range for this position is $50,000-55,000.
